WorldMate for Palm - Manual

Using DateMate, you will never forget your Wife's birthday, your anniversary, your friends birthdays and more. Also, you'll be able to see public holidays and other events in your Palm's built-in DateBook!

How will it do it?
Just enter those events in DateMate, and DateMate will automatically enter them into the built-in date book and will sound an alarm a few days before (so you'll have enough time to either buy a decent present or prepare a good excuse for not doing so). Alternatively, you can import an event file, such as the list of public holidays - and DateMate will automatically update the DateBook. Even better, for people listed in the built-in AddressBook, DateMate can read their birth dates directly from the AddressBook.

1. Entering events in DateMate

There are four ways to enter events in DateMate:

a) Manually entering new events with the "New" button on the main screen (or select "New Event..." from the Record menu). Once you select that, a new dialog appears :

b) Link a person from the address book to the event, do that by clicking on the Address Book button (marked in red), doing this will fill up the first name and last name fields, and on new devices, doing this will also fill the date field, with the date found in the birthday field as well.
c) Saving events in custom fields of
the Address book, and letting
DateMate import those events for
you into DateMate's data base.
d) Importing a Memo containing a list of events (e.g. holidays) into your Palm using the Palm Desktop software (on the PC/Mac), and letting DateMate import those events into its data base.

2. Editing event details

To edit a DateMate event, simply click the event's entry on the main screen. The following window appears:

You can enter the date by selecting the "two-square" icons to the left of the Date field. The Palm's 'Date Selector' window will pop up and you'll be able to select the appropriate date. You can also enter via graffiti the date directly into the field, just make sure you use the date format you selected under Palm's Format Preferences (shown to the right of the Date field).
If the event repeats every year, you do not have to specify the year and you can enter a date without a year. In such cases, a "-" will be shown in the count ("#") column.
Select the appropriate category of the event by clicking the Category pop up menu.
Set the repeating for annual events such as Birthdays, and if you're using alarms, DateMate will remind you annualy of these events.
Set the event to "Private" if you want it to be hidden when that security option is on (Set the security in the Palm security application).
Set alarm so DateMate will notify you of the event's upcoming time.
Attach a note to the event by clicking the 'Note' button.
Delete an event by pressing the garbage can button.
Press the GOTO button ('>>'), to access the linked record in the Address Book.

3. Entering events into the built-in Address Book

DateMate can import events you store in the address book from three places:
a) One of the four custom fields of an address book record.
b) A note attached to an address book record.
c) The birthday field found in new devices such as Tungsten T3 and Tungsten E.

i) Using the Address Book custom fields

First thing you need to do, is change one of the four custom field's name of the Address book. To do so:

Go to the Address book.
Select "Rename Custom Fields" from the menu of the lookup screen. The following window appears :
In the window on the right, we changed the 2nd custom field name to "Birthday".
Now we can go to the record in the address book to which we would like to add the birthday field. Once we selected that record the familiar window will appear :

As you can see, we already entered in the "Birthday" custom field the "2.5.67" date. There is no need to enter the name before the date, as DateMate will import this event with the entry's first name & last name.

We can also enter multiple dates in one record, for example :

In such a case, as you can see, we need to enter the first name of each person (without the last name), and his date. This way when DateMate will import these events, it will take the first names enter in the Birthday custom fields (here Monica and then Paula) and will know to add each one of them the last name from the address record.

ii) Using the Address Book notes

This is the format DateMate is looking for in the Notes:

*CategoryName Name Date

The '*' & Category name are mandatory and if they don't appear DateMate will ignore the line. The name part is optional, if you don't enter it, DateMate will take the first & last name from the Address Book entry. Note that in any case the last name will be taken from the Address Book entry.

Here are some examples of valid events:

*Birthday Bill 25/3
*Anniversary Bill & Hillary 22/3/69

Note: You can enter as many events as you'd like in one note. The only limit is the note's size (which is 4K in current Palm's).


iii) Date format of the Address Book events
Use the date format as selected in your Palm preferences.
(If for example you're using the D-M-Y use 25-3-72 and NOT 3-25-72 since this will be treated as an invalid Date!)

Don't use month names
(For example, "Mar 23rd 1972" is not allowed)

You can use ".", "/" or a "-" as a separator
(For example, "25/3/72" or "25.3.72" etc')

If the event repeats every year, you don't have to enter a year
(For example "25/3")


iv) Using the Address Book notes

On new devices such as Tungsten T3 or Tungsten E, you can enter the birthday date into the Birthday field, instead of using the Custom fields.


4. Importing / Exporting events
4.1. Importing events from the built-in Address book

Now that we've entered the events either using the custom fields or the notes, we can choose "Import..." from DateMate's 'Options' menu. Select "Address book". The following window appears:

 

In this window, we tell DateMate which custom fields we want to Import and into which categories to import into (in DateMate). Simply check the box of each custom field you want to import from then use the pop up menu to the right of that custom field to select into which category to import into.

On new devices such as Tungsten T3 and Tungsten E, you can also import an event from the Address Book's Birthday field.

If you're are using the notes, don't forget to check the 'Scan notes' so DateMate will search for events in the notes. Since the notes themselves contain instructions to which category to import the events into, there is no pop up menu to select like in the custom fields.

You can also instruct DateMate to add alarms for the imported events. The alarm setting will be used for ALL imported events. You can change the alarm for each event later, by clicking the event line on the main window. See Editing event details for more details.

Once you entered the above details, you click "Import" and the following window appears:

This window shows you the progress of DateMate as it scans the Address book.

You can repeat this process each time you make updates to the Address Book events.

4.2. Importing event lists from the built-in Memo Pad
You may also import events from the Memo Pad. This way, you can import event lists, such as the list of public holidays etc. Such event lists may be downloaded from DateMate's web page . These lists are imported into your Palm as memos - using your desktop computer, and the Palm Desktop software, and then imported from the Memo Pad into DateMate. This way you can, for instance, import a list of holidays for the coming year, and have DateMate remind you of them and/or export them to the Memo Pad.

To import a list of events: Download an event list, or create one yourself on your desktop computer. The required format includes a title on the first line, and then separate lines for each event, whose format should be:

LastName,FirstName,Date(M/D/Y),EventCategory
Save the event list in a known place on your computer as a text file (.txt suffix). Now, open the Palm Desktop software, select the "Memo" icon and then select "Import..." from the "File" Menu. In the file box which opens, select to search for text files by pressing the "Files of type..." menu and selecting "Text (.txt)" files. Browse to the file you saved earlier, select it and press "Open". A "Specify Import Fields" window will be opened. De-select "Private" and "Category" so that only "Memo" is selected (checked) . Now press OK. The file's contents will be displayed as a memo in the Palm Desktop window. HotSync the Palm - the new memo will be downloaded into your Palm.

For version 2.5, there is another optional flag in the import format:

repeatOption,LastName,FirstName,Date(M/D/Y),EventCategory

The repeat option is either '-', '+', or '+' followed by a number and then 'y' (for years).

On your Palm: Open the "Import Events" window using the Main Menu, and select "Memo Pad". Select the memo containing a list of events from the 'Memo' option menu. If the events in the list are repeating events (e.g. birthdays), check the "Repeating" box. You can also instruct DateMate to add alarms for the imported events. The default alarm setting will be used for ALL imported events. You can change the alarm for each event later, by clicking the event line on the main window. See "Editing event details" for more details.


5. Editing current categoy

Select "Edit current category" from the "Options" menu to make changes to all the events in the category in one step, without wasting time on editing each event manually.

The Edit category screen will appear.

Select the repeating and alarm properties to apply to all the events in the category. Press OK to let DateMate change the events automatically.

6. Changing DateMate's Options
Select "Preferences..." from the 'Options' menu to change different aspects of DateMate's behavior. The following window will appear: The preferences will always open with DateMate's main preferences:

List By - This setting determines how event entries appear in the main view & the DateBook entry. You can choose to have entries appear by last name, first name or by first name, last name.
#. column shows - "Current count" will display the number of times the event had repeated so far, followed by a '+' sign.
"Coming count" will display the number of occurrences the event will have the next time it happens, followed by a '-' sign.
"Days count" will display the number of days left untill the event.
Table Color - Set the grid color of the events table (main screen).
Alarm Preset - This preset will be used as the default alarm setting when entering new events or when importing events from the Address book.
Category settings - Set an Icon to a category, and also, check the 'Show Zodiac' check box to display the zodiac sign for the events in the category.

Select the DateBook tab to control DateBook events created by DateMate. Whatever settings you change, DateMate will update the DateBook with those changes.
Create DateBook Entries - This setting determines if DateMate will create any DateBook entries for the events. If you deselect it, DateMate will remove all DateBook entries it created, if you select it again, DateMate will create again DateBook entries for the events.
Show Years in DateBook - This setting determines if the DateBook entries will be created with the years/age of the event. If you select this option, DateMate creates for each event a few separate DateBook entries (one for each year).
If you do not select this option, DateMate creates ONE DateBook repeating event for each event.
For non-yearly events, selecting this option will show the count for this event.

Create Entries For x Years - If you selected 'Show Years in DateBook', you can determine how many DateBook entries (one for each year) you want for each event.
Use Date Book Categories (Support DateBk4/5 icons) - If you are using the DateBk4/5 application instead of the built-in DateBook, than you can have DateMate enter the events in DateBk's categories. Then you can set, in DateBk, the font/icon etc' for each category.
